The right accounting software for a US small business depends on your size, your budget and what you must report to the IRS and your state. Use this checklist.
1. Match the software to the business
| Business | What you need |
|---|---|
| Freelancer or sole proprietor | Invoicing, expense tracking, quarterly tax estimates, simple reports |
| Online seller | Sales tax tracking by state, inventory, marketplace and payment imports |
| Service business with staff | Payroll or a payroll integration, time tracking, project billing |
| Retail or restaurant | POS that posts to the books, inventory, tips and card fees |
2. Sales tax
There is no federal sales tax. States, and often cities and counties, set their own rules. Since the 2018 Wayfair decision, remote sellers can have to collect tax in states where they pass an economic nexus threshold. Check that your software can report sales by state, or that it integrates with a sales tax service. Estimate a single sale with the US sales tax calculator.
3. Contractors and payroll
If you pay contractors above the IRS reporting threshold you must file the relevant 1099 forms, so you need payee details and payment totals by year. Payroll has federal, state and local withholding. Many small businesses use a dedicated payroll provider that connects to the ledger. Check the current thresholds on irs.gov.
4. Banking and cash flow
Look for bank connections or statement import, reconciliation and a cash flow report. Track how fast customers pay with the DSO calculator.
5. Budget
Compare per-user fees, add-ons and the cost of switching later. Export options matter: you should always be able to take your data out.
6. Test with your own data
Create a customer, an invoice, a bill and a bank reconciliation. If any step needs a spreadsheet, keep looking.
