Choosing the right accounting software in the United Arab Emirates depends on your business size, your budget and your compliance needs with the Federal Tax Authority (FTA) for VAT and Corporate Tax. This guide gives you a short, practical way to decide.
Step 1: Match the software to your business size
| Business | What you actually need |
|---|---|
| Freelancer or new company | Tax invoices with your TRN, expense tracking, simple reports |
| Shop, cafe or retail | POS with barcode scanning, stock control, daily sales posting to the ledger |
| Trading or distribution | Quotations, delivery notes, purchase orders, receivables and payables ageing, multi-store stock |
| Growing SME with a team | Role-based access, bank reconciliation, projects, audit trail |
The mistake we see most often is buying a bigger system than you need, or a lighter one you outgrow in a year. If you sell at a counter or hold stock, choose software where POS and inventory post to the same ledger. See integrated POS vs separate POS and accounting.
Step 2: Set a realistic budget
Compare the total cost, not the headline price:
- Per-user or per-branch fees
- Add-ons for VAT returns, POS, inventory or multi-currency
- Onboarding and data migration
- Cost of staying on spreadsheets (late invoices, VAT errors, time)
Pyalm Books is free while it is in beta, so you can run real books at no cost while you evaluate it. Pricing after the beta has not been announced.
Step 3: Check FTA VAT compliance
At minimum, your software should handle:
- 5% standard-rated, zero-rated and exempt supplies
- Tax invoices that carry the required details, including your TRN (check yours with the TRN validator)
- Input and output VAT tracking and a VAT return report you can use to file
- A clear audit trail of changes
Read zero-rated vs exempt supplies to make sure the software treats them differently.
Step 4: Check Corporate Tax readiness
Corporate Tax starts from your accounting profit, so you need a real double-entry ledger that produces a Profit & Loss and Balance Sheet, not just an invoice maker. Look for a chart of accounts, journals, fixed-asset handling and period locking. Our bookkeeping checklist for Corporate Tax lists the records to keep.
Step 5: Check e-invoicing readiness
The UAE is rolling out structured e-invoicing in phases. Ask any vendor how invoice data is captured and how they plan to support the framework. Our e-invoicing timeline explains the dates.
Step 6: Test with your own data
Create one customer, one product, one invoice, one purchase and one VAT report. If you can do that in an hour, the software fits.
Quick scorecard
- Handles 5% VAT and VAT reports
- Double-entry ledger with P&L and Balance Sheet
- POS and stock if you sell goods
- Arabic and English documents
- Web and mobile access
- Clear pricing and local support
