How to Add a Watermark to a PDF (CONFIDENTIAL, DRAFT, COPY)

Stamp a text watermark across your PDF pages for free — when to use one, how to make it subtle or unmissable, and its limits.

A watermark tells everyone who sees a document what its status is — before they read a word. It's one of the simplest ways to prevent misunderstandings and discourage misuse.

When to watermark

  • DRAFT — proposals and contracts still under negotiation, so nobody signs the wrong version.
  • CONFIDENTIAL — financials, HR documents, pricing shared under NDA.
  • COPY or SAMPLE — documents shared for reference only.
  • "Prepared for [Client name]" — makes leaked copies traceable.
  • PAID — invoices you're resending as receipts.

How to add a watermark

  1. Open the free Watermark PDF tool.
  2. Choose your PDF.
  3. Type your text or pick a preset (CONFIDENTIAL, DRAFT, COPY, PAID…).
  4. Choose placement — diagonal, centre, tiled or footer — plus size, colour and opacity.
  5. Optionally limit it to certain pages (e.g. 1-3), then download.

A live preview shows page 1 with the watermark.

Subtle or unmissable?

  • Professional and readable: single diagonal watermark, 15–25% opacity, grey or brand colour.
  • Hard to remove: tiled pattern at 20–30% opacity across the whole page.
  • Discreet tracking: small footer text like "Prepared for Al Noor Trading — 16 Oct 2026".

Limits of watermarks

An added watermark can be removed by someone with PDF-editing software. For stronger protection:

  1. Tile the watermark.
  2. Flatten pages to images with Compress PDF (strong mode).
  3. Add a password and disable copying with Protect PDF.

The built-in PDF fonts cover English letters, numbers and common symbols — use English text for the watermark.

Why browser-based PDF tools are safer

Most online PDF sites upload your file to their servers. Pyalm's PDF tools run entirely in your browser — the file is read, processed and saved on your own device and never sent anywhere. That matters for contracts, invoices, bank statements and ID documents.

Stop handling business PDFs by hand

Most business PDFs are invoices, quotations, receipts and statements. Pyalm Books generates them for you — VAT-compliant, numbered, emailed to the customer and stored — so there's nothing to merge, rename or fix afterwards.
