How to Convert Excel to PDF (Without Cut-Off Columns)

Turn a spreadsheet into a clean, printable PDF for free — and avoid the classic problem of columns spilling onto extra pages.

Sharing a price list or report as an Excel file invites accidental edits and broken formulas. A PDF is read-only and looks the same everywhere. The challenge is getting a wide sheet onto pages without columns spilling onto page 2.

How to convert Excel to PDF

  1. Open the free Excel to PDF converter.
  2. Choose an .xlsx, .xls, .csv or .ods file.
  3. Pick the sheet, landscape or portrait, gridlines on or off, and whether the first row is a header.
  4. Click Save as PDF and choose Save as PDF in the print dialog.

Empty rows and columns around your data are trimmed, numbers are right-aligned, and header rows repeat on every page.

Avoid cut-off columns

  • Use landscape for anything wider than about 6–7 columns.
  • Hide or delete helper columns before converting.
  • Shorten long headers ("Qty" instead of "Quantity Ordered").
  • Split very wide sheets into two logical tables.

What carries over

Calculated values (exactly what you see in Excel), number formatting and the layout of rows and columns. Cell colours, merged-cell styling and charts aren't reproduced — for exact visual copies, use Excel's File → Export → PDF with "Fit all columns on one page".

Good uses

  • Price lists for customers
  • Quotation breakdowns and BOQs
  • Monthly reports for management or investors
  • Stock counts and delivery schedules for print

Why browser-based PDF tools are safer

Most online PDF sites upload your file to their servers. Pyalm's PDF tools run entirely in your browser — the file is read, processed and saved on your own device and never sent anywhere. That matters for contracts, invoices, bank statements and ID documents.

Rebuilding the same report every month?

If you export, format and PDF the same spreadsheet every month, it's time to automate. Pyalm Books produces P&L, balance sheet, VAT and ageing reports as PDFs on demand, and Pyalm can automate custom reports from your own data.
