Self-Service Check-In Kiosks and On-Demand Badge Printing
How self-service kiosks and on-demand badge printing speed up conference and exhibition entry, what hardware you need, and how to plan kiosk numbers.

Long tables of alphabetised badges are slow and wasteful. Self-service kiosks let guests scan their QR code (or their face) and print their own badge in seconds.
How it works
- The guest scans the QR from their WhatsApp ticket, or looks at the camera.
- The kiosk finds the registration and prints the badge.
- The guest picks up a lanyard and walks in.
Late registrations and walk-ups can register on the kiosk too.
Hardware
- Touchscreen kiosk or tablet on a stand
- Badge printer (thermal or colour)
- QR scanner or camera
- Reliable power and network, with offline fallback
How many kiosks?
At about three guests per minute per kiosk, 1,500 guests arriving over an hour with a ×1.5 peak need around 13 kiosks. Run your numbers in the check-in calculator.
Why it's worth it
- No badges printed for no-shows
- Instant reprints and name corrections
- A live record of who has arrived
- Fewer staff at registration, and more on guest help
