Before you book a venue, check that your audience fits the way you want to seat them. The free Venue Capacity Calculator turns room size into capacity for seven layouts.
Space per guest
| Layout | m² per guest |
|---|---|
| Standing concert | 0.5 |
| Cocktail reception | 0.9 |
| Theatre rows | 0.9 |
| Banquet rounds | 1.4 |
| Cabaret | 1.7 |
| Classroom | 1.8 |
| Boardroom / U-shape | 2.5 |
Don't forget the reserved space
Stage, bars, buffets, registration, aisles and emergency exits take 20–30% of a typical room. The calculator subtracts that before estimating capacity.
Free events and no-shows
Free events often lose 10–40% of registrants on the day. The calculator suggests how many free sign-ups you can accept for your expected no-show rate. A waitlist with WhatsApp reminders keeps the room full.
The legal limit
Your actual maximum is the capacity approved for the venue by civil defence and written into your event permit. Always use the lower number.
Next: seat your guests or plan your staff.
