Running Event Day: The Command Centre and Onsite Operations
How to run event day from a command centre — live dashboards, gate monitoring, incident logs, staff radios, escalation paths and the rehearsal that prevents most problems.

On event day, problems will happen: a scanner dies, a gate jams, a VIP turns up unannounced. What matters is how fast you see them and fix them.
The command centre
A room or desk with:
- A live dashboard: total check-ins, scans per gate per minute, capacity per zone
- Radios or a group channel linked to every team lead
- An incident log: what happened, when, who handled it and how it was resolved
- Escalation contacts for venue, security, medical and police liaison
What to watch
| Signal | Action |
|---|---|
| Gate throughput dropping | Move staff, open another lane |
| Zone near capacity | Pause entry, redirect guests |
| Repeated invalid scans | Check for fraud, alert security |
| Spike in WhatsApp questions | Send a broadcast answer |
Staff roles
- Gate leads own each entrance
- Floaters handle problem tickets at a help desk
- Tech support for devices, printers and connectivity
- Guest services for VIP, accessibility and lost-and-found
Rehearse
The day before, test every scanner, kiosk, printer and face camera. Run staff through every situation: valid ticket, used ticket, wrong zone, no ticket, upgrade. Most event-day failures show up in rehearsal.
Close the day
A short debrief, an export of check-in data and the incident log reviewed for the post-event report.
Pyalm Events & Ticketing provides the live dashboard and the onsite crew who run it with you.
