Event Registration Forms: Best Practices That Lift Sign-Ups

How to design event registration forms that people finish — which fields to ask for, approval-based registration, consent, mobile layout and the data you actually need.

Editorial disclosure: Pyalm publishes and maintains the products and free tools discussed on this site. Regulatory statements are linked to primary sources where applicable. No independent professional review is claimed unless a reviewer is explicitly named.

Every extra field on a registration form costs you sign-ups. Every field you skip may cost you data you needed. The trick is to ask the right questions at the right time.

Ask only what you'll use

Must-have Nice-to-have (ask later)
Name Job title
Mobile (for WhatsApp) Company size
Email Interests
Ticket type Dietary needs

Collect the nice-to-haves after registration in a short "complete your profile" message. People are more willing once they're committed.

Mobile first

  • One column, big tap targets
  • Correct keyboards (numbers for phone, email for email)
  • Country code set to +971 for UAE audiences
  • Autofill-friendly field names

Approval-based registration

For invite-only or B2B events, let people apply and approve them in a dashboard. Approved guests get their ticket on WhatsApp automatically, and declined ones get a polite note.

  • Separate checkboxes for event updates and marketing
  • A separate, optional consent for face check-in enrolment
  • A link to your privacy notice

Reduce no-shows

Free events often see a large share of registrants not turning up. Reduce it with:

  • WhatsApp reminders the day before and two hours before
  • A small refundable deposit for high-demand free events
  • A waitlist that automatically fills cancelled places
