Fast Event Check-In: How to Cut Queues at the Door
The maths of entry queues, how many gates and staff you need, and the check-in methods — QR, kiosks, wristbands and face — that keep thousands of guests moving.

The first impression of your event is the queue. A guest who waits 40 minutes in the heat arrives annoyed, however good the show is. The good news is that queues are maths, and maths can be planned.
Work out your gates
Gates needed = arrivals per minute at peak ÷ guests per gate per minute
If 3,000 guests arrive over the hour before doors, with a peak of about 80 per minute:
| Method | Guests per gate per minute | Gates needed |
|---|---|---|
| Paper list lookup | 2 | 40 |
| QR scan | 6 | 14 |
| Face check-in | 15 | 6 |
The numbers are illustrative. Measure your own throughput during rehearsal.
Tactics that work
- Separate lanes for VIP, pre-registered guests, box office and accessibility
- Ticket in WhatsApp, not buried in an email
- Remind guests two hours before to have their ticket ready
- Offline-capable scanners so a network drop doesn't stop entry
- Kiosks with badge printing for conferences
- Floaters who walk the queue and send problem tickets to a help desk
Watch it live
A command-centre dashboard showing scans per gate per minute lets you move staff to the slowest gate before the queue builds. See running event day.
After the event
Review peak arrival times and throughput for each gate. Next time, open doors earlier or add gates where it matters.
