How to Choose a Spice Supplier: 12 Questions to Ask

A checklist for importers, food manufacturers and retailers choosing a spice, coffee or pulse supplier — origin, testing, certifications, documents, samples, terms and communication.

A good supplier saves you money, rejected shipments and sleepless nights. A bad one costs all three. Ask these questions before you sign.

Origin and sourcing

  1. Where do you source, and how close are you to origin?
  2. Can you trace each lot back to region, processor or farm?
  3. Which products and grades do you handle regularly?

Quality

  1. Do you test before shipping, and at which labs?
  2. Can I see sample lab reports for residues, aflatoxins and microbiology?
  3. Do you offer cleaning, sortexing and steam sterilisation?

Compliance

  1. Do you know the rules in my market (EU MRLs, contaminants, EUDR for coffee)?
  2. Which registrations and certifications do you hold? (e.g. Spices Board, Coffee Board, FSSAI, organic)

Commercial

  1. Will you send pre-shipment samples?
  2. Which Incoterms and payment terms do you offer?
  3. What happens if a shipment doesn't meet the spec?

Communication

  1. Who is my contact, and how fast do they reply?

Red flags

  • Prices far below the market
  • No lab reports
  • Vague specifications
  • Pressure to pay everything in advance on a first order with no samples
