Things to Check When Trading Spices: A 25-Point Checklist

The checks every spice buyer and seller should make — counterparty, specification, samples, lab tests, contract terms, documents, payment, shipping and after-arrival claims.

Editorial disclosure: Pyalm publishes and maintains the products and free tools discussed on this site. Regulatory statements are linked to primary sources where applicable. No independent professional review is claimed unless a reviewer is explicitly named.

Spice trading rewards people who check things. Most losses come from a missed detail: a vague spec, an untested lot, a wrong document or an unknown counterparty. Use this checklist on every deal.

Trade guidance only, not legal or financial advice. Agree specifications and terms in writing, and take professional advice for large contracts.

The counterparty

  1. Registered company name, trade licence and address match
  2. How long they've been trading, and with whom
  3. Trade references you can actually call
  4. Bank details belong to the same company
  5. Communication from a company domain, not a free email

The product and specification

  1. Product, origin and grade named exactly
  2. Measurable specs: moisture, purity, density, size, volatile oil
  3. Safety limits: aflatoxins, residues, Salmonella, no ethylene oxide
  4. Crop year
  5. Packing: bag type, weight, marks, labels

Samples and testing

  1. Pre-shipment sample approved before loading
  2. Lab report from an accredited lab, matching the lot number
  3. Third-party inspection for larger lots
  4. Retained samples kept by both sides

The contract

  1. Quantity and tolerance (e.g. ±5%)
  2. Price, currency and Incoterm
  3. Shipment period and port
  4. Payment terms
  5. Quality claims process and deadlines
  6. Dispute resolution and governing law

Documents and shipping

  1. Every document matches the contract and L/C exactly
  2. HS codes and product descriptions consistent
  3. Container clean, dry and odour-free

After arrival

  1. Inspect and sample on arrival
  2. Raise any quality claim within the agreed time, with evidence
